1. Greet and welcome visitors, clients, contractors, and employees in a professional and friendly manner.
2. Ensure that all visitors are registered, issued visitor badges, and directed to the appropriate personnel or meeting rooms.
3. Answer incoming calls, direct them to the appropriate department or personnel, and take accurate messages when necessary.
4. Schedule and manage appointments for executives, managers, and other staff members.
5. Provide administrative support to various departments, including document preparation, data entry, and filing.
6. Serve as the first point of contact for clients, suppliers, and contractors, providing necessary information and coordinating visits to the office or construction sites.
7. Keep the reception area tidy, welcoming, and organized, ensuring that all materials and brochures are up to date and readily available.
8. Answer general inquiries from clients, staff, or visitors, providing relevant information or directing them to the appropriate department.
9. Provide logistical support for project teams, such as coordinating meetings, managing schedules, and handling any administrative work related to construction projects.
10. Assist in the management of construction project documents, ensuring they are filed and organized both digitally and physically.
11. Ensure compliance with office security protocols by monitoring entry and exit of visitors and contractors.
12. Sort and distribute incoming mail, packages, and deliveries to the appropriate departments or personnel.
13. Assist in organizing company events, meetings, and conferences by coordinating logistics such as venue booking, refreshments, and meeting materials.
14. Handle sensitive information with discretion and maintain confidentiality at all times.
