1. Provide high-level administrative assistance to senior executives, ensuring smooth operations within the company.
2. Act as a liaison between executives, staff, clients, and vendors, managing incoming calls, emails, and other correspondence efficiently.
3. Prepare and review reports, presentations, and documents for internal and external meetings, ensuring accuracy and professionalism.
4. Assist in tracking and coordinating ongoing construction projects, ensuring deadlines and milestones are met.
5. Handle client inquiries, schedule meetings, and maintain strong relationships, serving as the first point of contact between clients and the executive team.
6. Organize meetings, conferences, and events, including logistics, venue booking, preparation of materials, and post-event follow-ups.
7. Organize travel, accommodation, and itineraries for executives, ensuring smooth and efficient trips for site visits or business meetings.
8. Maintain and update project records, including contracts, blueprints, and construction schedules, ensuring all documents are organized and accessible.
9. Handle sensitive and confidential information with discretion, ensuring privacy and compliance with company policies.
10. Ensure the company€™s adherence to relevant construction laws, safety standards, and regulations, assisting with paperwork and documentation as needed.
Address day-to-day operational challenges, providing solutions to ensure the executive€™s office functions smoothly and effectively.
Collaborate with different departments, such as operations, procurement, and HR, to streamline project workflows and enhance overall efficiency.
Maintain accurate and up-to-date records of meetings, contracts, client communications, and other critical documents.
